Google Workspace Migration for Microsoft Outlook

Google Workspace Migration for Microsoft Outlook (GWMMO) migrates Microsoft Outlook email, calendar, or contact data to Google Workspace. Consider the following types of data and whether it's migrated, when you're planning to use GWMMO.

Email

Supported email features What's migrated & watchpoints
Email messages Messages in the top-level folders (any folder that is at the same level as your inbox folder) are migrated.

You can exclude email data by using the --noenable_email_migration argument when running a migration from the command line.

Email state, such as read or unread  
Deleted items Migration is optional and can be excluded.

Watchpoint: Deleted items are labeled Trash in Gmail.

Junk email Migration is optional and can be excluded.

Watchpoint: Junk email is labeled Spam in Gmail.

Large messages & attachments Watchpoint: The migration skips messages and attachments either if the message plus its attachment is larger than 25 MB, or if the file attachment is blocked by Gmail. For details, go to File types blocked in Gmail.
Message flags Watchpoint: Flags appear as stars in Gmail.
Folders Folders migrate as labels in Gmail. Labels are given the same name as the source folder.

Watchpoints:

  • If there's a naming conflict between a folder and a Gmail reserved system label (such as Sent, Trash, or Unread), the messages are migrated to the reserved label.
  • You can exclude specific top-level folders from a migration by running a migration from the command line. If you exclude a folder, its subfolders are also excluded.
  • During migration, a folder's full path becomes the label name. Folders with folder paths longer than 225 characters aren't migrated. The messages inside the folders are also not migrated.

Unsupported email features

  • Read-only PST files—GWMMO must have write permissions to access your data.
  • Offline Outlook Data File (.ost) files
  • Posts in mailbox folders
  • Importance levels of messages
  • Rules (both server and client) or filters—You can create equivalent filters in Gmail.
  • Signatures—Signatures can be re-created in Gmail.
  • Category definitions or assignments
  • Read receipts or delivery/non-delivery reports

Calendar

Supported calendar features What's migrated & watchpoints
Default calendar, including all events, descriptions, attendees, event reminders, and locations If you're using an exported or archived PST file, all calendars are migrated. You can exclude calendar data by using the --noenable_calendar_migration argument when running a migration from the command line.

Watchpoint: Calendars appear with the prefix of the source account in the main calendar list, instead of as the default calendar, for example, alexcruz/calendar.

Additional calendars Shared calendars are migrated for the owner, but not for other users who have access to the calendar.
Status (for example, busy, tentative, out of office, free, working elsewhere)  
Event response status (for example, accepted, rejected, tentative, no response, deleted)  
Calendar resources (for example, meeting rooms, projectors, company fleet cars, guest offices)  
Attendees Watchpoint: If you import calendar events for users who aren't the original organizer or initial attendee for the event, a "User neither attendee or organizer for event" warning message appears in the trace log file. However, the event successfully migrates into Google Workspace, and the target user is shown as an attendee of the event in Google Calendar.

Unsupported calendar features

  • Calendar permissions and sharing—GWMMO doesn't migrate permissions for shared calendars, but you can set up sharing in Google Calendar after a migration.
  • Rich content in event descriptions—If you're using Outlook 2016, GWMMO converts descriptions to plain text.
  • Calendar attachments
  • Category definitions or assignments

Contacts

Supported contacts features What's migrated & watchpoints
Personal contacts All contact fields are migrated.

You can exclude contact data by using the --noenable_contact_migration argument when running a migration from the command line.

Notes Notes in contacts are migrated as plain text.

Watchpoint: Notes larger than 16 KB are truncated.

Unsupported contact features

  • Contact folders—Separate contact folders don't migrate. Instead, all contacts from all folders are migrated. You can reorganize them using labels.
  • Contact groups or personal distribution lists—You can re-create a personal distribution list by creating a Google Group.
  • Global domain contacts—Domain contacts appear in the Global Address List (GAL) in Microsoft Active Directory. To import these contacts, you must use a different product. For details, go to About Google Cloud Directory Sync.
