If you use Google Workspace Sync for Microsoft Outlook (GWSMO), you should note a few points when working with messages in Outlook mail.

Understanding duplicate messages
If you see a message in 2 folders in Outlook, the message isn't a duplicate. The message has 2 labels assigned to it in Gmail and therefore appears in each corresponding folder in Outlook. (Remember that folders in Outlook map to labels in Gmail, and a message can have multiple labels.) You can leave the message in both folders to find it in either location. If you delete a message from one folder in Outlook, it's deleted from all other folders.
To remove the message from one folder but not any others:
- Drag the message out of the folder to Outlook's Archive folder. This is equivalent to removing a label from the message in Gmail.
- Click the message, then click Shift+Delete.
Send a message from a custom address
With GWSMO, you can use Outlook to send messages from any email address you own, not just your primary Google Workspace address. You can use another Google Workspace account or an email alias associated with your account.
Add a custom address
- Complete steps 1–3 (add, confirm, and change the "From" address) in Send emails from a different address or alias.
- (Optional) To always send mail from the new address, make the address your default "From" address. For details, go to Change default "From" address.
If you leave the From field blank in Outlook, recipients see the default address as the sender.
Send a message from the new address
- Open a send window in Outlook and choose from the list of available addresses.
Tip: If you're using Outlook 2010 or earlier, you might need to enter the whole address in the From field the first time. After you enter the full address, it autocompletes when you next enter it.
