Work with messages in Outlook mail

Google Workspace Sync for Microsoft Outlook

If you use Google Workspace Sync for Microsoft Outlook (GWSMO), you should note a few points when working with messages in Outlook mail.

Sending & receiving messages

When you... Be aware that...
Send large file attachments (over 3 MB) from Outlook This process can take longer than usual with GWSMO. However, you can keep composing and reading email while the send/receive process completes.
Send webpages from Microsoft Internet Explorer or Microsoft Office Delivery can be delayed.

If you send someone a webpage from Internet Explorer or Office by clicking the Fileand thenSendand thenPage by e-mail option, the message is sent immediately only if Outlook is open. Otherwise, it's sent the next time you start Outlook.

View email headers when replying to a message Reply headers in email threads between Gmail users and Outlook users appear differently than in threads between Outlook users. 
Receive messages sent to yourself from a third-party application The messages might be marked as read in Outlook's Sent Items folder, even if you haven't opened the message from the folder. These messages always appear as unread in your main inbox (until you open them).
Email Outlook items that have non-English characters The characters appear as question marks (???) and appear when you:
  • Email a contact that has non-English characters in their name field to another Outlook user.
  • Forward a calendar appointment with non-English characters in the subject field.
  • Send a message in Outlook using a custom From address that contains non-English characters, unless you also include non-English characters in the message's subject.
Want to change the email format to Rich Text By default, GWSMO sets your preference for composing mail in HTML format, rather than rich text. Leave it set to HTML, or messages you send won't be readable.

Understanding duplicate messages

If you see a message in 2 folders in Outlook, the message isn't a duplicate. The message has 2 labels assigned to it in Gmail and therefore appears in each corresponding folder in Outlook. (Remember that folders in Outlook map to labels in Gmail, and a message can have multiple labels.) You can leave the message in both folders to find it in either location. If you delete a message from one folder in Outlook, it's deleted from all other folders.

To remove the message from one folder but not any others:

  • Drag the message out of the folder to Outlook's Archive folder. This is equivalent to removing a label from the message in Gmail.
  • Click the message, then click Shift+Delete.

Send a message from a custom address

With GWSMO, you can use Outlook to send messages from any email address you own, not just your primary Google Workspace address. You can use another Google Workspace account or an email alias associated with your account.

Add a custom address

  1. Complete steps 1–3 (add, confirm, and change the "From" address) in Send emails from a different address or alias.
  2. (Optional) To always send mail from the new address, make the address your default "From" address. For details, go to Change default "From" address.

If you leave the From field blank in Outlook, recipients see the default address as the sender.

Send a message from the new address

  1. Open a send window in Outlook and choose from the list of available addresses.

    Tip: If you're using Outlook 2010 or earlier, you might need to enter the whole address in the From field the first time. After you enter the full address, it autocompletes when you next enter it.

  2. Compose your message and click Send.
