Respond to event invitations

To let people know if you can attend an event, you can respond to the event invitation. With your response, you can also:

  • Propose a new time.
  • Add a note for the event organizer.

When you receive an invitation, the event is added to your primary calendar in Google Calendar.

Until you respond to an event or confirm that you know the sender, the event might not show on your calendar. Unknown senders can include people:

  • Outside your organization
  • Not in your contacts
  • You haven’t interacted with before

Respond to an invitation

An animation that shows how to respond to events in Calendar. In Calendar, the user taps a new event and responds "Yes." Next, if the user has a work or school account, they can tap the arrow next to "Yes" to find options to join the meeting from a virtual location or in a meeting room.
  1. On your iPhone or iPad, open the Google Calendar app Calendar.
  2. On your calendar, tap the event.
    • You can also respond in an invitation email.
  3. Select:
    • Yes
    • No
    • Maybe

Update how you join a meeting

Important:

  • This feature isn't available on personal Google Accounts.
  • If you have a work or school account, you can set up a working location. When you respond “Yes” to an event, the event automatically defaults to:
    • A meeting room when you join from your office.
    • A virtual location when you join from your home or another location.

To update how you join a meeting:

  1. On your iPhone or iPad, open the Google Calendar app Calendar.
  2. On your calendar, tap the event.
  3. Next to "Yes,” tap Join method options .
  4. Select:
    • Yes, in a meeting room
    • Yes, joining virtually

Propose a new time

Propose a new time as an attendee
  1. On your iPhone or iPad, open the Google Calendar app Calendar.
  2. On your calendar, tap the event.
  3. Next to "Maybe," tap Expand footer Up arrow and then Propose a new time.
  4. Select a different time or day.
  5. Add an optional message with your proposal.
  6. Tap Send Send.
Review a proposal as an organizer
  1. On your iPhone or iPad, open the Google Calendar app Calendar.
  2. On your calendar, tap an event with a clock icon.
  3. Under "Guests," tap the proposal you want to review.
  4. To change the event to the proposed time, tap Done Done.
  5. Tap Save.

Tips:

  • Only guests can propose a new time. Organizers can’t propose a new time.
  • For large events with more than 200 guests and all-day events, you can’t propose a new time. Learn more about large events.

Add a note when you respond

Important: Your note is visible to all invitees.

  1. On your iPhone or iPad, open the Google Calendar app Calendar.
  2. On your calendar, tap the event.
  3. Next to "Maybe," tap Expand footer Up arrow and then Add note.
  4. Select your response and enter a note.
  5. Tap Save.

Learn how to forward invitations

  • If you forward an invitation, the recipient can find updated meeting details and change your response at any time.
  • If you have permission to add guests to an event, you can forward the invitation to new guests by email. 
    • When new guests respond to the invitations, they’re added to the guest list and they can invite others.
  • If you don’t want guests to invite others:
    1. Open the event.
    2. Tap Edit Edit and then Guests can.
    3. Turn off Invite others.
