You can create an email address for spaces in Google Chat to easily send emails to the space.

How to generate an email address from a space

You can generate an email address from a space in Google Chat to easily send emails to the space. Emails sent to the generated email will also be posted in the space.

Important: Only space managers can generate email addresses.

  1. On your computer, open Google Chat or Gmail.
    • In Gmail: On the left, click Chat.
  2. Open the space that you want to generate an email for.
  3. Select the space name at the top of Chat.
  4. From the drop-down menu, click Space settings .
  5. Under 'Email', click Generate email .
    • 'Generate email' creates a space email address for you. This space email is backed by a Google Group email address.
    • Space managers (also the owners of the backing Group in this case) can:
  6. To send emails to the space, copy and paste the generated email address into the 'to' or 'cc' of the email that you want sent to the space.
    • Emails sent to the space are displayed in plain text in an email card. The email card includes a snippet of the email to help space members understand the email context. 
    • To view the full email in Google Groups, including links and attachments, tap on the View message in the email card.
  • To remove this feature, you can disable or delete the email address.
  • Mobile users can view and copy the space's email address to send emails to the space, but they can't generate or manage (e.g., customise, disable and delete) the email address.
  • Space managers added after the email is created can disable the email, but can't delete the email unless they're an owner in Google Groups. Learn how to assign someone as a group owner.
  • Existing Groups policies are respected. For example, if your admin has disabled group creation, those users will be restricted from generating emails for spaces in Chat. If your admin has disabled access to Groups (groups.google.com), users also can't view the full email or manage the email in Groups.
  • You can't use this space email currently to invite a space and its members to a calendar event.

How to update a space email address

You can change the email address to make it more recognisable to members. However, when you update the address, emails sent to the previous address will no longer be posted in the space. Additionally, email cards that were previously sent to the space (via the old address) will remain in the space, but clicking on the 'View message' buttons in the card will no longer open the full email.

To update the space email:
  1. On your computer, open Google Chat or Gmail.
    • In Gmail: On the left, click Chat.
  2. Open the space that you want to update the email for.
  3. Select the space name at the top of Chat.
  4. From the drop-down menu, click Space settings .
  5. Select Manage email and then Advanced settings (redirects to Google Groups).
  6. Under group email, type the new email address for your space.
  7. Click Save changes.
Tip: To view the updated email address in the space settings page in Chat, refresh the page.

How to disable or delete the space email address

To disable or delete an email generated from a space:

  1. On your computer, open Google Chat or Gmail.
    • In Gmail: On the left, click Chat.
  2. Open the space you want to disable or delete the email address.
  3. Select the space name at the top of Chat.
  4. From the drop-down menu, click Space settings .
  5. Next to the generated email, click Manage email then choose one of the available options:
    • Disable email address:
      • Emails sent to this address will no longer be posted in the space.
      • Emails will continue to be posted in the underlying Google Group.
    • Delete email address:
      • The generated email address will be permanently deleted.
      • Email cards that were previously sent to space will remain in space, but clicking on the 'View message' buttons in the card will no longer open the full email.
      • Space managers will need to create a new email to make spaces able to be emailed again.
