Schedule a report download

If you regularly download performance data for offline analysis or sharing, you can use Search Ads 360 to generate a report on a recurring schedule (such as daily, weekly, or monthly) and send an email when the report is ready. The email contains a link for downloading the report, and you can choose to include the generated report as an attachment as well.

Important details about scheduled reports

  • Scheduled reports are subject to the permissions of the Search Ads 360 user who set up the schedule. If an agency manager removes the user, Search Ads 360 will no longer generate the report. 
  • If a report fails to generate for more than 30 days, Search Ads 360 automatically removes the scheduled report.
  • Once you create a scheduled report, you can add or remove email addresses, but you can't change the schedule, change the scope of data, or pause the report. If you need to change more than email addresses, remove the scheduled report and schedule a new one.
  • If a report is larger than 10MB, Search Ads 360 will provide a download link but will not include the report as an email attachment.

Schedule a report

  1. Specify the data you want in the report:

    1. Navigate to an advertiser or lower scope and click a tab.
      For example, to report on all campaigns in an advertiser, click the Campaigns tab.

    2. Select a time range for the report.
      For example, select Last 7 days. Each time the report runs, you'll see performance data from the previous 7 days. 

    3. Optionally adjust the type of data that will appear in the report by doing any of the following:

    4. Specify the items to include in the report by doing either of the following in the reporting table:

      • Select the check box next to each item you want to include

      • Filter the table so it contains only the items you want to report on
        Search Ads 360 applies the filter each time it runs the report. If you add or change items after a report runs so that the filter matches different items, the next report will contain different items than the previous report.

  2. Once you've adjusted the report to show the data you want, click the download icon   in the toolbar above the table.

  3. In the download panel, click the Schedule download tab.

  4. Name the report.
    The name will appear in the subject line of the email.

  5. In the Schedule list, select how often you want the report to be sent.

  6. Select the time of day (and time zone) you want to generate the report.
    The selected time zone affects the time that Search Ads 360 generates the report as well as how Search Ads 360 interprets the report's time range. It doesn’t affect the time zone of the metrics in the report.

    If you select a time zone that is different from the time zone of an engine in the report, you could end up missing some data. For example, if a report contains the last 7 days of data and you schedule a report to run at 1am Eastern Standard Time, an engine that uses Pacific Standard Time will only report up to 10pm on the last day of the time range (because the report runs at 1am EST, which is 10pm PST, and includes data from the previous 7 days as calculated using EST).

  7. Enter the list of email addresses for Search Ads 360 to mail the report to.
    The email will contain a link for downloading the report.

  8. If you also want the email to contain the report as an attachment, select Include this file as an attachment
    The email will contain both the report as an attachment and a link for downloading the report.

  9. Enter the remaining properties and click Schedule.

    If you choose a CSV format for the report, the download link will download a CSV file. If you include the report as an email attachment, Search Ads 360 compresses the attached report into a ZIP file. If the ZIP file is larger than 10MB, only the download link will appear in the email. Search Ads 360 does not email report files larger than 10MB.

    If you choose a Microsoft Excel format, the download link will download a Microsoft Excel file. If you include the report as an email attachment, the email attachment will also be a Microsoft Excel file. If the file is larger than 10MB, only the download link will appear in the email. Search Ads 360 does not email report files larger than 10MB.

At the next scheduled interval, Search Ads 360 generates the report and sends email to the list of recipients.

See the report schedule

You can see the list of all reports scheduled for an advertiser. Note that the list only shows information about the report schedules. The actual generated reports are only available from the link or attachment you receive through email.

To see the report schedule:

  1. Navigate to an advertiser.
    Steps for navigating to an advertiser
    1. Click the navigation bar to display navigation options.

    2. In the "Agency" list, click on the agency that contains the advertiser. You can search for an agency by name or scroll through the list.

    3. In the "Advertiser" list, click on the advertiser.

    4. Click Apply or press the Enter key.

    Search Ads 360 displays the advertiser page, which contains data for all of the advertiser’s engine accounts.

  2. In the left navigation panel, click Downloads.
  3. Click the Scheduled downloads tab if it isn't already selected.

The report schedule appears in the reporting table. All reports in the list are active and will generate new reports at the next scheduled interval. (It isn't possible to pause scheduled reports.)

Change the recipients of a scheduled report

  1. Navigate to an advertiser.
  2. In the left navigation panel, click Downloads.
  3. Click the Scheduled downloads tab if it isn't already selected.
  4. Click in the Email column.
  5. Change the addresses in the address editor and click Save.

Remove a scheduled report

Once you create a scheduled report, you can add or remove email addresses, but you can't change the schedule, change the scope of data, or pause the report. If you need to change more than email addresses, remove the scheduled report and create a new one:

  1. Navigate to an advertiser.
  2. In the left navigation panel, click Downloads.
  3. Click the Scheduled downloads tab if it isn't already selected.
  4. Select the checkbox next to a scheduled report.
  5. Click the Remove button above the reporting table.

Search Ads 360 removes the scheduled report.
