3. Configure users

When setting up Google Calendar Connector for HCL Notes (GCCHN), your next step is to configure users in the HCL Domino directory to use the connector.

GCCHN uses the Calendar field to determine how each user should be processed. Before users can share schedule information, this field must be added to the Person form in the Domino directory and populated for each user. Users without a Calendar field are excluded from sharing.

Step 1: Add the Calendar field to the Person form

  1. In Domino Designer, open the Domino directory.
  2. On the Other tab in the Person document, open the $PersonExtensibleSchema subform.

    Tip: If the $PersonExtensibleSchema subform in the Domino directory is empty, you can delete it. Then, copy the subform provided in the connector template to your Domino directory.

  3. In a new window, go to the google-calconn.ntf file and open the $PersonExtensibleSchema subform.
  4. Copy the contents from the connector subform to the Domino directory subform.
  5. Save the Domino directory subform.
  6. Open a Person document and on the Other tab, verify the Calendar field is visible.

Step 2: Set the Calendar value of each user

In the Domino directory, choose a Calendar value option for each user:

  • Notes—For users who remain on the Notes calendar. The Google Calendar web service can query the user’s calendar details.
  • Google—For users who are fully migrated to Google Calendar and aren’t using the Notes calendar. The polling agent processes the user. Events from Google Calendar are written back to the Notes calendar to ensure existing Notes users can still view availability information for the user.
  • Empty—The web service and the polling agent (default value) ignore the user.

You can update the value for an individual user by editing the Person document. Alternatively, use a Notes’ agent to set the value for multiple users at once.

Important:

  • When a user is reported as a Google Calendar user on their Person document, the connector deletes all events from the Notes calendar. Deleted events cannot be recovered.
  • Do not use Google Workspace Migration for HCL Notes (GWMHN) and GCCHN for the same user at the same time. You might permanently lose data in Notes and duplicate events in Google Workspace. You can only use GWMHN and GCCHN at the same time if they're migrating different users.

Adding rooms and resources to the Person form

You can also add the Calendar field to your Rooms and Resource documents in Notes. The Calendar field allows Google Calendar users to view availability for rooms and resources in Notes. However, it's not possible to book these resources using Google Calendar.
