As standard suppliers, you will receive email notifications in your inbox from Alphabet/Google when you receive a new order or if the status of your purchase order has changed in Ariba.
Screenshot below shows the sample mails received from Alphabet/Google. Note that the PO is also sent as an attachment along with the mail.
- You also will receive an email notification when the PO gets updated in Ariba. The email will have a link to process the PO, which will direct you to login to Ariba supplier network.
- You can then login to Ariba, and perform the relevant tasks which include creating the invoice (PO, non-PO or Credit Line Memo).
- Shown above are the sample notifications received for a new PO and a changed PO. In both the cases, you will click the Process order button in order to process the PO
To view PO details, perform the following steps:
- Your Gmail Inbox screen is displayed. Click the Google LLC sent a new Purchase Order mail to view the PO in Ariba Supplier Network
- Click the Process order button
- The Ariba Supplier Network login screen is displayed. Log in with your valid credentials
- The Purchase Order Details screen is displayed. You can view corresponding details of the PO:
- Sender’s address
- Supplier’s address
- Total amount of the PO
- Corresponding details of the selected PO are displayed. You can view the following:
- Payment terms
- Contact Information
- Attachments
- Corresponding details of the selected PO are displayed. You can view the following:
- Shipping details
- Billing details
In the Line Items section, you can view additional details about the line item(s) in the selected PO. These include:- description,
- type,
- quantity,
- requirement date,
- unit price
- and subtotal.
- Click the Done button to exit
