You can share the design work and projects that you store in Gallery with anyone with a Google account. You can easily share with specific individuals, Google groups, or with everyone in your G Suite domain.
Share a project with users at your company
- On your computer, go to gallery.io.
- Click the project you want to share.
- Click Project access .
- Check Anyone at your company can view and comment to share with anyone at your company.
- To give specific users additional Editor permissions, enter their email address in the Add people field and click Save.
Share projects with teams using a Google Group
Gallery supports Google Groups, which can be used to manage permission settings at a team or group level. Visit the Google Groups Help Center to get started with Google Groups.
To add users to a project using a Google Group, simply add the group alias in the Project Access menu. The group will appear on the approved users list, and all members of the Google Group will have access to the project.
Share a project with specific people as editors or viewers
If you use a Google Account through work or school, you might not be able to share files outside of your organization.
- On your computer, go to gallery.io.
- Click the project you want to share.
- Click Project access .
- Type in the email address of a user you want to invite to your project.
- To choose what someone can do with your project, click the Down arrow .
- Select Editor or Viewer .
- Click Enter on your keyboard.
- Repeat Step 4 for each user.
- If you don't want to send an email to people, uncheck the Send invitation to new collaborators box.
- Click Save.
- If you are sharing with users outside of your company, a prompt will appear. Confirm that you would like to share with users outside of your organization by clicking Share.
Share a link to a project
You can send a link to your project so anyone with the link can access it. When you share a link to a project, users will need to request access by default.
- At the top right, click Share collection .
- Click COPY LINK.
- Copy and paste the link into an email or any place you want to share it.
- If a user is not already added to the project as a viewer or editor, you will be notified when they request access to the project.
View a list of project collaborators
There are four ways to view all project editors and viewers. Only project editors can view project access settings.
- From the project screen, avatars appear for all collaborators under the project title section.
- From the top right corner of a project, editors can click the Project access status chip to view a list of all collaborators and their roles.
- From the top right corner of a project, editors can click Project access to view a list of all collaborators and their roles.
- From the top right corner of a project, editors can click Share project to view a list of all collaborators and their roles.
Limit how a project is shared
Choose if people can view or edit projects
When you share a project with someone, you can choose what they can do with it. Project roles can be changed at any time by a project owner or editor.
- Owner: Project ownership cannot be transferred and there can only be one owner. Only owners will receive requests to add new collaborators to a project.
- Viewer: Viewers can view files, use inspect mode, and make comments and annotations.
- Editor: Editors can complete all viewer actions, plus they can edit projects, resolve comments and annotations, share the project with others, and upload content with the Gallery Plugin.
