Understand Box scan reports

When you conduct a scan of your Box data, you have the option of generating all or some of these reports. Learn more about how to create a scan.

Once the scan is complete, you can view the scan summary and download the reports. For details, see Analyze your scan.

Permissions by user

Provides a total count of permissions for each user.

Field name	Description
Email	User's email address
Total	Number of permissions owned by the user

Depth report

Provides information about the level of hierarchy and location of each scanned folder and the strings required to map deeply nested folders to a specified location in a folder hierarchy.

How to modify

Minimum depth—The minimum depth for an item to be included in the report.
Maximum depth—The maximum depth for an item to be included in the report. If you specify 0 (the default), all folders below the minimum depth are included.
Check the Enumerate children box to show the number of items within each folder.

Path	Path to the location of the object
User	Name of the user account
Child Box folders	Number of folders located under the object
Child Box files	Number of files located under the object
Child Box notes	Number of notes located under the object
Child Box collaborations	Number of collaborations located under the object
Child Box collaboration set	Number of collaboration sets under the object (the number of descendant objects that can be shared)
Total children	Total number of child objects under the object
Total size (bytes)	Total size of all files under the object, in bytes
Total size	Total size of all files under the object

Shared drives candidate report

Gives information on the hierarchical depth of folders and the permissions held by objects within the folders.

There are limits to the amount and type of data you can migrate to shared drives. Use the information in this report to help you assess whether the folders are good candidates for migration to shared drives or whether you should reorganize the data to avoid potential migration issues. How to modify

Provide a value for:

Minimum object count—Minimum number of objects (folders and files) inside the folder (default value is 100). The scan excludes folders containing fewer than the specified number.
Minimum shared with—Minimum number of users that have access to the root folder (default value is 5). The scan excludes folders that are shared with fewer users than the number specified.
% allowed with restricted permissions—Percentage of the content of a folder that is permitted to have restricted permissions (default is 1%). The scan excludes folders that have a higher percentage of restricted permissions. Go to Restricted permissions.

Note: The report only includes scanned items that meet all of the conditions above.

Total	Total number of objects (folders and files) in the folder and in its hierarchy, including in its subfolders
Folder depth	Level of hierarchy of each object
Shared with count	How many users or groups the folder is shared with
Path	Folder path to the location of the object
ID	Unique identifier of the folder
Total folders	Number of folders within the folder
Total files	Count of all files (not folders) in all folders and subfolders under the candidate (doesn’t discriminate by permissions)

Box note

Lists the Box Notes.

Note: Google Workspace Migrate doesn’t support Box Notes migration.

Report errors

Identifies any failures such as a failure to connect to a particular user account.

Permissions by object

Lists the users that have permissions for the specified files or folders.

Report folder information—Includes folder information in the report.

Lists the total number of Box objects to be migrated for each user.
