As an admin, you control how people in your organization use the Gemini app with their Google Workspace account. The Gemini app  is a form of generative AI that can help your users create content and understand complex topics.  The Gemini app  can help people in your organization be more efficient, productive, and knowledgeable.

How your users access the Gemini app depends on whether you have a Gemini for Google Workspace add-on:

  • With a Gemini for Google Workspace add-on: To let users access the Gemini app as a core service with their Google Workspace account, assign them a Gemini for Google Workspace license and turn on Gemini as a core service.

    Tip: When you purchase the Gemini for Google Workspace add-on, Gemini as a core service is available to licensed users. The Gemini service setting has an option to also let unlicensed users access the Gemini app as an additional Google service. For detailed steps, go to Turn Gemini on or off as a core service.

  • Without a Gemini for Google Workspace add-on: You can turn on Gemini as an additional Google service in your Google Admin console. Your users don’t need a license to access  the Gemini app  as an additional service. Note: you must verify your domain before you can use  the Gemini app  as an additional service. Gemini licenses and terms of service

Users with a Gemini for Google Workspace who access  the Gemini app as a core service are subject to the Google Workspace Terms of Service. When these users access the Gemini app as a core service, their chats and uploaded files won't be reviewed by human reviewers or otherwise be used to improve generative AI models.

Users without a Gemini for Google Workspace license who access the Gemini app as an additional service with their Google Workspace account are subject to the Google Terms of Service. When these users access the Gemini app as an additional service, their chats may be reviewed by human reviewers and used to improve Google’s products, services, and machine-learning technologies. Tell these users to avoid entering confidential or sensitive information when using Gemini.

Terms of service exception for Workspace for Education users without a Gemini for Google Workspace license: Data from these users' Gemini activity isn't used for model improvements and isn't reviewed by human reviewers.

The Gemini app is available in all countries and regions where Google Workspace is available. 

Gemini activity settings

  • Your Gemini Apps Activity only includes activity from the Gemini web app gemini.google.com. When you delete your chats with Gemini for Workspace inside a Workspace app, this does not delete any information that is saved to your Gemini Apps Activity.
  • If you’ve used the Gemini web app with your work or school account previously and had Gemini Apps Activity turned off, your Gemini Apps Activity will be turned on. The first time you sign in after May 9, 2024, your Gemini Apps Activity will be turned on and your conversation history will be retained for 18 months.

    • If Gemini Apps indicate that your history is off, refresh your web page.   

Important: For work users who have access to Gemini Apps as an additional service, while Gemini Apps Activity is on, Google collects your Gemini Apps conversations and other information you provide to improve and develop Google products and services and machine-learning technologies. Learn more.

Turn Gemini on or off as a core service

To access Gemini as a core service with their Google Workspace account, users must have a Gemini for Google Workspace license.

Tip: When Gemini is on as a core service for licensed users, you have the option to also let unlicensed users access Gemini as an additional Google service. In Step 7, select the Allow all users access to Gemini option.

  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. In the Admin console, go to Menu and then Generative AI > Gemini.
  3. Click Service status.
  4. To turn a service on or off for everyone in your organization, click On for everyone or Off for everyone, and then click Save.

  5. (Optional) To turn a service on or off for an organizational unit:
    1. At the left, select the organizational unit.
    2. To change the Service status, select On or Off.
    3. Choose one:
      • If the Service status is set to Inherited and you want to keep the updated setting, even if the parent setting changes, click Override.
      • If the Service status is set to Overridden, either click Inherit to revert to the same setting as its parent, or click Save to keep the new setting, even if the parent setting changes.

  6. To turn on a service for a set of users across or within organizational units, select an access group. For details, go to Use groups to customize service access.
  7. Next to User access, select which users in your organization can access the Gemini app:
    • Only allow users with a Gemini Enterprise or Gemini Business license to access Gemini with Customer Data protections: When you select this option, only users with a Gemini for Google Workspace license can access the Gemini app as a core service. This option is selected by default.
    • Allow all users access to the Gemini app: When you select this option, users access the Gemini app as an additional Google service. When you assign Gemini for Google Workspace licenses, those users access the Gemini app as a core service.
  8. Click Save.

Changes can take up to 24 hours but typically happen more quickly. Learn more
