The following are common questions about running a sync with Google Workspace Sync for Microsoft Outlook (GWSMO).
Set up
Can GWSMO help me import Exchange data to Google Workspace?Yes. You can save your Microsoft Exchange data as a PST file before you import the data. For details, go to Import your data. You can also choose the option to import your data later.
If all you want to do is import data to your Google Account—that is, you don't plan to keep working in Outlook—use Google Workspace Migration for Microsoft Outlook (GWMMO) instead of GWSMO.
Yes. Export the data from Outlook as a PST file and then import it using the option to import your data later. You can also use Google Workspace Migration for Microsoft Outlook (GWMMO).
No. GWSMO isn't supported for macOS. Outlook for Mac doesn't support Messaging Application Programming Interface (MAPI), which GWSMO needs to communicate with Outlook.
To move data from Apple to Google Workspace, go to Migrate data from Apple to Google Workspace.
No. GWSMO doesn't support having an Exchange account in a GWSMO profile.
Yes. GWSMO uses TLS to securely communicate with Google and OAuth to authorize access to accounts.
No. When importing from an Exchange profile, GWSMO takes a snapshot of the profile's current data and imports only that. After the import is complete, no new mail, calendar events, or other data received on the Exchange server synchronizes with your Google Account.
To sync email continuously between an Exchange server and Google Workspace, your administrator must set up dual delivery. For details, go to Deliver email to multiple inboxes with dual delivery.
Most plugins should keep working as usual. Some plugins are turned off during the GWSMO installation process, including:
- Acrobat PDFMaker toolbar
(registry key: HKLM\SOFTWARE\Microsoft\Office\Outlook\Addins\PDFMOutlook.PDFMOutlook) - Outlook Change Notifier
(registry key: HKLM\SOFTWARE\Microsoft\Office\Outlook\AddinsOutlookChangeNotifier.Connect)
We recommend turning off anti-virus plugins, because they can cause issues with synchronization.
- Crashsender.exe—Sends information to Google in the event of a crash. To do so, users must have enabled crash reports when they created their profile. For details, go to Send usage & crash reports.
- Gsync32.dll—Add-in and provider library that's loaded in Outlook when a user opens a GWSMO profile.
- Profileeditor.exe—Sets up a new profile or adds an account for delegation.
- Profilepassworddelete.exe—Deletes GWSMO access credentials.
- Unifiedlogin.dll—Library that performs authorization for Google APIs.
What's supported
What data is synchronized between Outlook & my Google Account? All of your mail, calendar events, and contacts as well as your Microsoft Outlook notes and tasks are synced.
Data that a Google Workspace product doesn't support, or is otherwise incompatible, isn't synchronized, including:
- Outlook journal entries
- Follow-up flags
- Distribution lists
- Rich formatting in contacts
You keep using these features in Outlook. Sometimes, you can use equivalent features with a Google Workspace product. However, the data isn't synchronized back and forth.
For a complete list, go to What's synchronized?
Some Outlook features can't be used when you're using GWSMO. For example, you can't use public folders or send an email in Rich Text Format (RTF).
For a complete list, go to What's synchronized?
Email messages, folders, calendar events, contacts, tasks, notes, journal entries, and so on. A few items that don't get imported to Outlook include public folders, category assignments for mail messages, mail signatures, and rules. Journal entries import to Outlook, but they don't import to your Google Account.
Sync issues
Why don't sent messages show up in my Outlook Sent Items folder? You might need to set it up. Consult your Outlook help on how to save messages to the Sent Items folder.
Messages in your inbox with the subject "Email messages were found in the 'Sent Items' folder that were not sent" means you have messages that haven't been successfully sent.
To send the unsent messages:
- In Outlook, open your Sent Items folder.
- Search for messages with the category "Unsent message" assigned.
The easiest way to search is to enter category: Unsent message in the Search Sent Items bar.
- Open the messages and resend them.
A message in your Outlook Sync Issues folder with the subject "Out of memory error when synchronizing Notes" indicates that an error prevented Notes from synchronizing completely. However, Notes hasn't stopped synchronizing and if the message doesn't reappear, you don't need to take action.
If you keep getting the message, you should simplify the structure of folders in your Google Drive. Specifically, we recommend My Drive doesn't have more than:
- 4 levels of nested folders
- 500 folders in total
- 200 plain text files
For details about how GWSMO synchronizes Notes with plain text files in Drive, go to Outlook Notes.
You might get this issue when you add birthday information to a contact in Outlook (even if the contact was created in Google). Doing so automatically creates a birthday calendar event in Outlook’s calendar. After a sync, the event appears twice in Google—in the main Google calendar and in the Birthdays calendar.
To work around this issue, choose an option:
- Add the birthday information to the Google, not Outlook, contact.
- Unsubscribe from the Google Birthdays calendar.
Maintenance
What happens if a user's email address changes? The user must create another GWSMO profile if their email address changes. For details, go to Re-create or replace your profile.
