With Google Workspace Sync for Microsoft Outlook (GWSMO), you can import your Outlook data to your Google Account from:
- An existing Outlook profile
- A Microsoft Exchange profile (if you're using Exchange)
- A PST file containing data exported from Outlook
First, decide whether to import data now or later.

Option 1: I'm ready to import data now
- Check Import data from an existing profile.
- Select where your Outlook data is stored:
- Outlook–Selects an existing Outlook profile (the default)
- The name of your Exchange profile–Imports the data directly from Exchange
- From a PST file (then browse to the file on your computer)
If the options are grayed out, you need to install a separate tool to import data. For details, go to Why can't I view the import options?
- Check the boxes to specify what type of data to import.
For details, go to What's synchronized?
- (Optional) To send information to Google, check Send crash reports and usage statistics to Google.
For details about what information is sent, go to Send usage & crash reports.
- Click Show advanced settings.
- Check Turn AutoArchive off to keep a copy of all your archived messages.
Your archived messages go to a new Archived folder that is synced with your Google Account.
- Click Create profile.
Option 2: I'm not ready to import data now
Skip ahead to Start using Outlook. You can return to this step later. When you're ready, go to Import your Outlook data later.
Option 3: I have already imported data
Do not re-import the same data. You might end up with duplicate calendar events, contacts, or notes. Go to Start using Outlook.
What to expect when you import data
How does the import process work?Contacts are imported first, followed by calendar data, and then email. Contacts and calendar events are imported directly into Outlook and synchronize with your Google Account on the web when you start Outlook. Your email imports directly to Gmail and is immediately available on the web, even before you start Outlook.
If the import options are grayed out:
- You were upgraded from a version of GWSMO before version 2.1.
- Your administrator downloaded GWSMO for you without also making the Google Workspace Migration for Microsoft Outlook (GWMMO) product available.
To fix the issue, you need to install the separate GWMMO migration product before you can import data:
- Go to the GWMMO download page and click Download GWMMO.
- To install GWMMO, open the installer and follow the instructions.

- Return to GWSMO and select an option:
- If you've already created a Google Workspace profile in Outlook—Import data into your existing profile.

- If you haven't yet created a Google Workspace profile in Outlook—Create a profile so you can import data.

- If you've already created a Google Workspace profile in Outlook—Import data into your existing profile.
Depending on how much mail and other data you have, it might take several hours to complete the import process. You can start Outlook and work in your Google Account (Google Workspace profile) before the import process is finished.
To temporarily pause an import, click Pause migration. Click Resume migration to continue importing from where you left off.
If your import is deliberately interrupted (if you click Cancel or you turn off your computer, for example) you can simply rerun the import process. To avoid importing duplicate data, select Import only data that has not been imported previously. For details, go to Import your Outlook data later.
If a lost internet connection accidentally interrupts the import, it will resume when the connection is restored. If not, you should start a new import. To avoid importing duplicate data, select Import only data that has not been imported previously. For details, go to Import your Outlook data later.
To view the status of the import process, such as any errors that might have occurred, click Migration log file. This action opens a log file for the current process.
